A product team ships a release on Friday. By Monday the office printer, two laptops and the staging server all need attention, and none of it is work the developers were hired to do. That is usually when a growing software company starts pricing a managed IT provider, often with a spreadsheet already open for development costs, cloud bills and DevOps tooling. The trouble is that no two managed IT quotes arrive in the same shape.
Match the pricing model to your setup
Per-device, per-user and tiered bundle pricing each charge for something different. A team with 40 laptops and 3 servers can work out which model fits before a sales call decides for them. For a side-by-side of how these billing models are typically structured, see a detailed guide to managed IT services pricing.
Per-device pricing bills each endpoint, usually at a higher rate for servers than for workstations, and suits companies where each person uses one machine. Per-user pricing covers every device a person touches. That starts to matter once engineers carry a laptop, a phone and a test tablet. Tiered bundles package monitoring, help desk and security into fixed levels. Hybrid deals pair a flat monthly fee with hourly project work.
Run that 40-laptop team through the numbers. If every employee also has a company phone, per-device billing counts 83 endpoints. Per-user billing counts 40 seats plus the servers. The cheaper option depends almost entirely on that ratio of devices to people.
Count what you actually own
Providers price what you hand them, so an incomplete inventory produces a quote that grows after signing. Spend an afternoon building one sheet that every bidder receives. List:
-
Every laptop, desktop and mobile device, with the person who uses it.
-
Physical and virtual servers, including staging and test environments.
-
Cloud subscriptions and SaaS accounts such as Microsoft 365, Google Workspace, AWS or Azure.
-
Network gear, including firewalls, switches and Wi-Fi access points.
-
Who supports each item today: an internal admin, a developer or nobody at all.
Then write down the support hours you need. A team split between New York and Bangalore may need round-the-clock help desk coverage, while a single-office agency can often live with business hours and an after-hours rate for emergencies. That one choice can move a quote by 20 to 30 percent.

Know what pushes the number up
The base fee covers monitoring, patching and help desk tickets. Add-ons cause the real swings. Endpoint detection, multi-factor enforcement and security awareness training are often priced per seat on top of the base plan, and cloud cost governance and backup management add more again.
Check for overlap with engineering work you already pay for. If dedicated DevOps engineers manage your CI/CD pipelines and infrastructure as code, take cloud infrastructure out of the provider's scope rather than pay two teams to watch the same AWS account. Project work usually sits outside the monthly fee: a Microsoft 365 migration, an office move, onboarding 15 new hires. Ask whether each is billed hourly or as a fixed project.
Know the business across the table, too. According to the GTIA State of the Channel 2026 report found that only about a third of IT service providers track gross margin by service line, and fewer than a third track monthly recurring revenue growth and churn.

A provider that does not know which services make money is more likely to reprice at renewal. Ask the hard questions before you sign.
Read the proposal like a contract
Response time and resolution time are different promises. A 15-minute response on critical tickets means someone acknowledges the problem quickly. It says nothing about when your build server comes back online. Get both figures, by severity level, in writing.
Then look past the monthly number. Check onboarding fees, minimum term, auto-renewal clauses and what happens to per-seat pricing when headcount jumps from 40 to 60 after a funding round. Read the exclusions page twice; line-of-business apps, personal devices and vendor-managed systems are the usual gaps.

Finally, set the annual managed IT figure beside the rest of your technology spend. If you have already estimated a build with Decipher Zone's Project Cost Calculator, add the IT support line next to it. A $3,000 monthly IT contract looks very different against a $40,000 product budget than it does alone.
This week, send the same inventory sheet to three providers. Ask each to price it both per-user and per-device, with security and cloud management as separate lines. A quote that won't break out those lines is showing you where the surprises will come from.
